TERMS OF REFERENCE/JOB DESCRIPTION

Title of Position: Human Resource Management Assistant

Duty station: ICPAC, Nairobi

Duration: 5 years Renewable

Reporting Line/Supervision: Human Resource and Facilities Officer

Position Grade: GS4

Core Duties and Responsibilities

  • Assist in implementation of human resource and administrative procedures and to monitor all activities and practices to ensure compliance.
  • Assist in the recruitment of ICPAC staff and ensure that new employees receive proper instructions regarding their duties and terms of employment.
  • Assist in co-ordination of the performance management process and all related functions including staff performance appraisal, training planning and implementation, and incentive schemes.
  • Assist in overseeing and coordination of all welfare and disciplinary matters, handle staff grievances in a prompt, conscientious manner and train supervisors on basic staff management and disciplinary skills.
  • Assist in coordinating the administrative activities of the organization and provide guidance on related matters such as general office administration.
  • Assist in managing and co-ordination of the identification and negotiation of contracts with suppliers of human resource and administrative services.
  • Assist in ensuring the timely and economic provision of administrative services, such as adequate office spaces, transport and registry services.
  • Assist in ensuring high standards of office cleanliness, sanitary hygiene, health and safety and security.
  • Assist in preparation and submission of reports as and when required.
  • And any other related duties that may be required from time to time.

Minimum Qualifications and Experience

  • A Bachelor’s degree in Human Resource Management or its equivalent
  • Professional Human Resources Management certificate is an added advantage
  • At least three (3) years’ experience in human resource management activities

Language requirements:

Fluency in English (both oral and written) is required. French is an added advantage.
